Introduction

This tutorial explains how to create a product with a linked entry type in our system. This will allow the product to be bookable in a heat or session. If you link an entry type to a product, you will be able to set specific heat/session settings by selling this product in the Booking software.

Configuration

To create a new product with an entry type, follow these steps:

  1. Create a product, please refer to Create a Simple Product if you have any questions.
  2. Open the ‘Menu’ in the top right corner of the application, go to ‘Products’ -> ‘Products’ and double-click on the product you want to add an entry type to.
  3. Go to the second tab ‘Return’ and turn the ‘Entry’ button on. Click on the magnifying glass icon to search for or create a new entry type.
  4. You can create it in this tab and also if you go to ‘Products’ -> ‘Entry Types’ and click on the ‘+’ icon on the top left of the application.
  5. You can fill in the entry type Name and link it to the Resource. Turn the ‘Custom session setup’ button on so you can change the settings of this entry type.
  6. There are many different settings to change. The basic ones are the first couple of settings in the ‘Session’ and ‘Timing’ tab. Below is an overview of all settings.

Settings overview

    • GENERAL

      1. Name: Name of the entry type
      2. Session name: The name that will be used for the heat/session. If empty, this will use the default session name (Heat 1, Heat 2, Heat 3,…)
      3. Resource: The activity that this entry type is linked to.
      4. Group: The group that this entry type is linked to.
      5. Print tickets: This defines if products with this entry type will print a ticket.
      6. Custom session setup: Turn this button On to change settings. If this is Off, products with this entry type will use the default settings of the resource.
      7. Max Per Session: Used for Online Booking. This defines how many of this entry type can be booked per session. Very useful if you have different kart types like double karts, which you only have a limited amount of.
      8. Speed: You can assign an Unlocked Speed level here.
      9. Participants Mode:
        1. Booking: The normal setting. Drivers will be added to the heat.
        2. ManualGrandprix: No drivers will be added to this heat so you can add drivers manually in the Grand Prix tab in the Timing software.
        3. AutomaticGrandPrix: Drivers will automatically be filled in based on the Training/Qualify heat results (in the same product combo).
    • SESSION

      1. Maximum drivers: Maximum amount of participants in this session
      2. Kiosk capacity: For the Smart Kiosk. This defines the maximum amount of customers that can book in the session once at least 1 customer books into it.
      3. Online capacity: For Online Booking. This defines the maximum amount of customers that can book in the session once at least 1 customer books into it.
      4. Scores: The score group for this entry type. You can also look at Setting up dynamic score groups for a different type of setup.
      5. Games: You can select a Game type here. This can be used for VR games, where you have different game types such as ‘Capture the Flag’ or ‘Team Deathmatch’.
      6. Enable E-mail sending: Turn this button on if you want sessions with this entry type to send race results.
      7. Enable SMS sending: Turn this button on if you want sessions with this entry type to send race results.
      8. Rules: You can select a set of Rules that you can configure for Endurance races. This can be set up under ‘Activities’ -> ‘Rules’.
    • TIMING

      1. Score sorting: How drivers are sorted. Best lap time, average lap time, most laps or none.
      2. Finish after Time + Duration: Use this if you want the heat to finish after a certain amount of time.
      3. Finish after laps + Number of Laps: Use this if you want the heat to finish after a certain amount of laps.
      4. Finish after laps/time priority: If both ‘Finish after Time’ and ‘Finish after laps’ are turned on, you can select which one has priority (or both).
      5. Amount of printouts: Amount of printouts for this session. A maximum of 1/2/3/4/5 or 1 per participant.
      6. Printout type: The printout layout that has to be used.
      7. Start timing: When the Timing should start the heat: after you press ‘Start’, after the first passing, etc.
      8. First lap: How the first lap should be calculated.
      9. Two phase start: If you want passings to still be counted for a certain amount of time after the heat starts, add a time here and turn this button on.
      10. FIA Start: Used for the Light Control system. If you enable this button, you can set it up so your lights will use a FIA start at the start of the heat.
      11. Crash speed levels: Used with the Slowdown system. You can enable certain automatic speed settings when this button is turned on.
      12. Two phase finish + Max. Last lap time: If you want passings to still be counted for a certain amount of time after the heat finishes, turn this button on and add a time under ‘Max. Last lap time’.
      13. Track: If you have multiple tracks, you can select which one it’s used.
      14. Min. Lap time + Max. Lap time: The minimum and maximum lap time that should be counted as a ‘normal lap’. If the passing time is lower than the minimum or higher than the maximum, our system will not count it as a lap passing in the Timing.
      15. Rental object assignment: The way that kart numbers will be assigned.
        1. Manually in the kart assignment tab in the Timing software.
        2. Automatically based on the position of the drivers and loop passings.
        3. Automatically add driver # and kart number based on loop passings (for customers who only use our Timing software).
      16. Karts per team: Used for Endurance races in the Timing software. This will define how many karts can be added per team.
      17. Powerbalancing: This is used when you have electric go-karts and are using our Endurance module (see point 21.)
      18. Points: Select a Points system setup that you configured. This can be done at ‘Activities’ -> ‘Points’. For example you can create a setup called ‘Grand Prix’ and the points are given as follows: 10;8;6;4;2. The winner will receive 10 points, second place will receive 8 points, etc. You can add this column in the Timing software (read this tutorial for more info) and also sort drivers based on Points in the Grand Prix tab.
      19. Scoring by category: For Endurance races. Turn this on if you want scores to be split up per Race Category. For more info look for the ‘Timing – Endurance Manual’ here.
    • ADVANCED

      1. Group: Used for online booking. You can give entry types a group name. This can allow you to block adults from booking into an existing kids heat, for example.
        Example: You have 3 products for kids karting with the same entry type. On this entry type, you add in the Group field ‘kidskart’. Once someone books this kids karting product, customers won’t be able to book at the same time for an adult heat (with uses a different entry type without a ‘Group’ field).
      2. Required membership: You can link a specific membership to an entry type that the customer needs. In the Booking software, if the selected customer doesn’t have the required membership, the product(s) linked to this entry type won’t be shown.
      3. Style: You can add a color. When you sell a product with this entry type, the heat/session will have this color. This can be useful to identify kids heats vs normal heats.

      This page shows which products are linked to the entry type you are viewing.

    • PRODUCTS

      This page shows the same but with more details about the products such as price, cash report group, tax amount, etc.

    • PRODUCT LINES

      This page shows which products (in a combo) this entry type is used in under ‘Product entry’.
